New Request Selection Process for 2026
The amount of USDA funding SFPA receives plays a major role in determining how many travelers SFPA can support for international events, and space is often limited.
Following a successful first year of using our enhanced Member Portal, SFPA will no longer assign travelers on a first-come, first-served basis. We recognize that not everyone is at their computer the moment requests open, and we want all members to have equal access to opportunities.
This updated process ensures every submission is reviewed fairly and accurately, allowing SFPA to match travel opportunities with member needs while maintaining an equitable process.
Before You Submit a Request
- Confirm you have an active SFPA Member Portal account connected to your company by clicking here to log in. If not, click here to create one. For assistance, email kkopf@sfpa.org.
Submitting Your Travel Request
- Log in to the SFPA Member Portal.
- Navigate to the event and open the Event Request Portal.
- Under Registration Information, check the box for “Add to Waitlist.”
- Click Submit.
- If submitting for multiple events, repeat steps for each event.
After You Submit
- Remember, requests are no longer first-come, first-served. All submissions received by the deadline will be reviewed together.
- Wait for SFPA to notify you of approval or waitlist status. Do NOT book travel and accommodations until SFPA approves your request.
Once Approved
- All travel and accommodations booked must be 100% refundable.
- You must purchase airline tickets through Travel & Cruise Desk. Even if you plan to go off-mission (travel outside of reimbursable rates), you must book your flight through Travel & Cruise Desk to ensure proper comparisons are provided for reimbursement.
- Provide SFPA with your flight itinerary no later than 45 days before travel. Failure to do so may result in losing your spot.
Company Representation Rules
- Only one representative per company is guaranteed.
- A second representative may be wait-listed depending on space and approved later if circumstances permit.
- FAS rules allow a maximum of two participants per company.
If SFPA Assigns You to the Wait List
- You will receive a waitlist notification.
- SFPA will contact you if space becomes available.
- Only after confirmation should you book travel.
Cancelling Your Request or Your Confirmed Spot
Notify SFPA immediately so your spot may be reassigned.
